    Casedaisy vs. spreadsheets

A spreadsheet is free, instantly flexible, and already shaped exactly the way you think — which is why most home-visit therapists still run their caseload in one. Casedaisy does the parts a sheet cannot do on its own: sequencing the day by driving route, computing mileage between stops, and counting delivered visits against each authorization.

Last reviewed: September 2026. Written from each product's own public website; anything we could not verify there is left out rather than guessed.

    Where a spreadsheet is strong

There is a real reason spreadsheets win for so long. They cost nothing, they bend to any workflow, and nobody has to be convinced to adopt one.

    • Free, and already installed
    • Completely flexible — any column you want, any layout that makes sense to you
    • Works offline, shares with anyone, exports anywhere
    • No vendor, no migration, no lock-in
    • Perfectly adequate for a small, geographically tight caseload

    Where casedaisy is different

A spreadsheet stores what you decided. It does not make the decision for you — the drive order, the make-up visit, the mileage total at month end. That is the work Casedaisy takes on.

    • Drive-route scheduling: the day is sequenced by the drive between stops, with traffic-padded estimates
    • Automatic chain mileage: home base to first client, client to client, last client home — no manual log
    • Authorization pacing: delivered vs. authorized visits per period, with warnings before a window closes with units unused
    • Nap- and availability-aware planning: hard do-not-schedule blocks and soft preferences per client

Scope, stated plainly: Casedaisy is scheduling, routing, mileage, authorization pacing, and visit notes for therapists who drive to their clients. It is not an EMR, it does not submit insurance claims, and it does not run revenue cycle management. Many people run it alongside the system their agency already bills from.

    Choose a spreadsheet if…

    • Your caseload is small and close together, and the drive order is obvious.
    • You want zero cost and total control of the format.
    • Your agency already gives you a system and you only need a personal list beside it.

    Choose casedaisy if…

    • You are rebuilding the drive order in your head every week.
    • Mileage is being reconstructed from memory at month end.
    • An authorization has lapsed with visits unused, or nearly has.
    • You want the week planned around naps and availability without hand-solving it.

Keep your spreadsheet. Bring it with you.

Download our free caseload template, fill it in (or paste your existing sheet into it), and import it. Clients, addresses, caregivers, authorization windows, visit frequency, and nap blocks come across in one step — the import usually takes a couple of minutes.

    Frequently asked questions

Can I import my existing caseload spreadsheet?
Yes. Download the free template, match your columns to it (or paste your rows in), and import. Clients, addresses, caregivers, authorization dates, visit frequency, nap blocks, and assigned therapists all come across.
    Does Casedaisy track authorizations?
Yes. Each client holds an authorization period with a start date, end date, and authorized visit or unit count. Casedaisy counts delivered visits against it, shows who is ahead or behind pace, and warns you before a window closes with units unused.
Do I have to stop using my spreadsheet?
No. Plenty of people keep a sheet for their own notes and use Casedaisy for the schedule, mileage, and authorization side. You can export your data out again at any time.
Is Casedaisy an EMR? Can it bill insurance?
No. Casedaisy is scheduling, routing, mileage, authorization pacing, and visit notes. It does not submit insurance claims or run revenue cycle management, so if you need billing you will either keep your current system or choose one that includes it.
    What does Casedaisy cost?
Plans start at $19 per month for solo therapists, with a 7-day free trial and no credit card required to start. Current plans are on the pricing page.
I run listings in a spreadsheet, not a caseload. Does this work for real estate agents?
Yes. Casedaisy has a real estate mode: listings and contacts instead of clients, route-ordered buyer tours that respect showing windows and tenant notice, contract deadlines, and the same automatic mileage log. See the page for real estate agents.
